A Batik Retailer Reduces Manual Stock Tracking by Half
The Challenge
A family-run batik and fabric shop in Alor Setar was manually tracking stock across two locations using printed spreadsheets updated daily. Errors in stock counts were leading to over-ordering and occasional stockouts of fast-moving items. The owner wanted to reduce admin time without replacing the system entirely or spending significantly on software.
What Was Done
During the Setup Sprint, Harmoni introduced a simple cloud-based inventory tool with a mobile interface. Rather than replacing the spreadsheet immediately, the two systems were run in parallel for the first two weeks. Staff were trained to update the new tool alongside their usual process. By week three, the spreadsheet was no longer needed. A two-page quick-reference guide was left with the team.
The Outcome
Three months after the sprint, the owner reported that daily stock admin time had fallen from roughly 45 minutes to about 20 minutes. The mobile interface meant both locations could update stock counts without calling each other. One stockout situation was averted in the first month because a low-stock alert came through before the weekly reorder day.

A Small Workshop Improves Quotation Turnaround Over Six Months
The Challenge
A small fabrication workshop was spending 30–40 minutes on each client quotation because the owner was writing them from scratch each time. With 8–12 quotations per week, this was adding up to a significant block of non-billable time. The owner had looked at AI tools briefly but was unsure which to try and how to set it up without disrupting the existing process.
What Was Done
Over the first two months of the Advisory Partnership, Harmoni worked with the owner to create a set of structured prompt templates for a widely available AI writing tool. The templates were based on actual quotations the workshop had previously issued, which the owner agreed to share in anonymised form. By month three, the tool was generating first-draft quotations the owner then reviewed and adjusted.
The Outcome
Six months in, quotation time had reduced from 30–40 minutes to around 10–12 minutes per quote. The owner noted the quality was more consistent than before. The Advisory Partnership scope shifted in month four to cover a separate challenge — scheduling — reflecting the flexible structure of the arrangement.

A Home Baker Decides Not to Use AI — and That's the Right Outcome
The Situation
A home baker selling custom kuih and cakes through WhatsApp had heard about AI tools at a community business event and wondered if they could help with order management. She booked an AI Readiness Conversation to understand her options, noting she had no prior experience with any technology beyond a basic smartphone.
What Was Discussed
During the session, it became clear that her order volume — around 15–20 orders a week — was manageable within her current WhatsApp-and-notebook system, which she had refined well. The conversation explored three possible tools, but each one added complexity that her current operation genuinely did not need. Harmoni advised her that no change was needed at this stage.
The Outcome
The client reported the session as valuable even though no tool was adopted. She said it gave her a clear sense of what AI could and couldn't do for her, and at what point — if her order volume doubled — it might become useful. She returned six months later to start a Setup Sprint when her business grew. The honest first session built the trust that made her comfortable coming back.
